System Settings Overview

Overview

The System Settings page in Aptly allows administrators to customize how the platform functions across modules, roles, data types, and workflows. These settings control default behaviors, toggle feature availability, and enforce governance policies.

Settings are grouped into functional sections to make configuration simple and scalable.

⚙️ Info & Region

Configure tenant-wide defaults:

• Default Time Zone
• Date Format (e.g., MM/DD/YYYY)
• Base Currency (e.g., USD)
• Multi-Currency Support (toggle)

These defaults cascade to user experiences unless overridden in individual user profile settings.

🧑‍🤝‍🧑 Group Types

Enable or disable default group hierarchies:

• Organizations (always enabled)
• Locations (toggle)
• Departments (toggle)
• Custom Group Types (optional)

These groups form the backbone for delegation and matrix structuring.

🧾 Decision Settings

Define value types used for decision authorities:

• Currency (e.g., USD)
• Number
• Time (e.g., days/months)
• Boolean (Authorized Yes/No)
• Percentage

You can also enable:

• Conditions – conditional logic for decision use
• Decision Roles – such as Consulted, Informed

👥 Delegation Settings

Configure the types of delegations your system allows:

• Approval Delegations (toggle)
• Signatory Delegations (toggle)
• Recipient Types:
  • Personal in Position
  • Position Only
  • Specific Personnel

Control issuance behavior:

• Auto Issue – Delegations automatically marked as Issued if no approval required
• Global Redelegation Limits – Set limits as % of parent authority

📂 Document Settings

Module-level configuration for document workflows:

• Link External Documents
• Upload Documents

Types

• Enable and manage Document Types (Policy, Procedure, Protocol)

Versioning

• Enable version control and default fields:
  • Effective Date
  • Code
  • Version Label

​

Oversight

• Enable oversight roles:
  • Owner (always enabled)
  • Responsible
  • Approver (with optional approval actions)
  • Reviewer (with optional review actions)

Disabling oversight or versioning will hide corresponding fields in the document views.

🧩 Action Settings

Control automated task creation for:

• Delegation Requests
• Delegation Acceptance
• Decision Role Acknowledgement
• Delegation Approvals

When enabled, each creates an action assigned to the appropriate user for workflow tracking.

🧮 Matrix Settings

Manage matrix visibility and structure:

• Decision Matrix (toggle)
• Authority Matrix (toggle)

Sharing options:

• External Sharing (toggle)
• Password Protection for Sharing (toggle)
